How to activate the auto-import of leads from my Portal?

Auto-importing of leads from property portals can save you time and effort in manually recording inquiries from property portals. Currently, PropSpace only supports the auto-importing of leads from, Dubizzle, Bayut, and PropertyFinder directly. It reads email inquiries from your mailbox and fetches the enquirer's details and requirements automatically as a new lead. Depending upon the way your company operates, you will need to choose one of the two ways to set up the auto-import feature in PropSpace:

- If all inquiries are sent to a common email address in your company (e.g: enquiries@yourrealestatecompany.com), then use option A.
- If property inquiries are directly sent to the real estate agent's email addresses, then use option B.

Before we begin with the steps to enable the auto import of the leads. Please follow the below steps and do it from your end

  1. Ensure IMAP is Enabled: Go to 'Forwarding and POP/IMAP' tab > IMAP access: > select Enable IMAP
  2. Two-steps verification should be disabled.
  3. Less Secure app should be enabled.
  4. Captcha should be enabled. (If this will show an error "This website is no longer available", you may skip it.)
Option A.
To enable auto-import of leads if inquiries are sent to a common email address in your company:
  1. Navigate to the Admin > Profile > XML, and set the XML Email option as 'Company'.
  2. In the 'Company XML Email' field, add in the email address that will be commonly used by your company.

  3. Switch to the Leads tab while still on the Profile screen. Scroll to the Import Lead section that needs to be populated next.
    1. IMAP: You can get IMAP details from your email server provider, usually it would be mail.yourcompany.com
    2. Email: The company email address to which you want to receive the inquiry (same as the company XML email field in the previous step)
    3. Password: This is the password for your email address
    4. Port: You will need to obtain this from your email server provider, it is most likely to be either 993 or 143.
  4. Click the Test connection button to ensure that the connection is successful, else recheck the values entered.
  5. Click on the 'Update Profile' button to save the changes.
Warning
Changes in the existing XML settings from agent to company will cause the agents to get unverified on the Property Finder.

Option B.
To enable auto-import of leads if inquiries are directly sent to the agents' email addresses:
  1. Navigate to the Admin > Profile > XML section, and set the XML Email option as 'Agent'.
  2. Navigate to Admin > Users screen and select an agent to set up.
  3. Click on Edit User and populate the Import Lead section.
  4. Enabled: Set this option as Yes to activate it.
  5. IMAP: You can get IMAP details from your email server provider, usually it would be mail.yourcompany.com
  6. Email: Enter the email address of the agent
  7. Password: This is the password for the email address entered above
  8. Port: You will need to obtain this from your email server provider, it is most likely to be either 993 or 143.
  9. Click the Test connection button to ensure that the connection is successful, else recheck the values entered.
  10. Click on the 'Save User' button, and repeat these steps for each agent.
